This Privacy Policy explains how Liddicoat Basketball collects, uses, stores and discloses personal information, including information about children, and how you can access, correct or delete it. In this policy, "we", "us" and "our" mean Liddicoat Basketball.

1. About us

Liddicoat Basketball is operated by Cameron James in Melbourne, Victoria. Cameron James is responsible for the personal information described in this policy. No other person reads your messages.

Liddicoat Basketball is a small business and is currently below the turnover threshold at which the Privacy Act 1988 (Cth) applies automatically. We have nevertheless chosen to follow the Australian Privacy Principles because we handle information about children.

2. Information we collect

2.1 Enquiries

• Your name, email address and phone number.
• The content of your message.

2.2 Email list

• Your first name and email address.
• The page of this website on which you signed up.

2.3 Coaching subscriptions

• The name, email address and phone number of the parent or guardian.
• The child's first name and age.
• The basketball club the child currently plays for, if any.

2.4 During coaching

• Messages in the group chat, which always includes the parent or guardian.
• Video clips of the child training or playing, sent by the parent or guardian.
• Coaching notes on the child's progress, and monthly written reviews.
• Information you provide about injuries, medical conditions or matters at the child's club.

2.5 Website use

When you visit this website, the following information is collected automatically:

• The pages you view and how long you spend on them.
• Your device type, browser and approximate location, based on your IP address.
• The website or search engine that referred you, including whether you arrived from one of our ads.
• How you interact with pages, such as clicks and scrolling.

2.6 Our quizzes

This covers the "What's next", "Is your child ready for rep?" and "What should my child work on first?" quizzes. The age group finder, the rules quiz and the association finder on our guide pages collect nothing.

• Your answers to the quiz questions, such as your child's age group, how often they train and how they took the news about tryouts.
• Your first name, email address and, if you choose to give it, your phone number.
• Your child's first name, if you choose to give it.

We use your answers to work out the guide shown on screen and emailed to you, and so Cameron can follow up with you personally. You are only added to our email list if you tick the box asking for tips.

3. Children's information

We collect only the information needed to coach a child, and we collect it from the parent or guardian rather than from the child. We ask for the child's first name and age. We do not require a surname, date of birth, school, address or photograph of the child's face.

Children's information is not sold, is not used for advertising, and is not provided to any club, association, selector or scout. We will only speak to a child's club coach at the request of the parent or guardian.

The parent or guardian, not the child, controls the child's information and may request a copy, correction or deletion at any time.

4. How we use personal information

We use personal information to:

• respond to enquiries;
• prepare and adjust a training plan suited to the individual child;
• process payments and keep the tax records required by law;
• send monthly progress reviews and reply to messages;
• keep children safe, which may require us to record and report a concern, as set out on the Child Safety page;
• if you have joined the email list, send you emails about tryout dates, registration windows, rule changes and other junior basketball news. Every email contains an unsubscribe link, and one click removes you from the list; and
• understand how this website is used and improve it.

5. Service providers

We use the following service providers. Each receives only the information it needs to provide its service.

• Stripe: payment processing. Card details are sent directly to Stripe and are not seen or stored by us. We can see whether a payment succeeded, but not the card number.
• WhatsApp (owned by Meta): group chat messages and video clips.
• Resend: email notifications when a form on this website is submitted.
• Klaviyo: storing the email list and sending emails to subscribers.
• Google Analytics: website usage statistics.
• Google Ads: measuring whether our Google ads lead to phone calls and enquiries. If you arrive from one of our ads, the phone number shown on this website may be replaced with a Google forwarding number that connects to the same phone, so that calls from ads can be counted.
• Microsoft Clarity: records how visitors use this website, such as clicks and scrolling. Form fields are masked, so what you type into a form is not recorded.
• Google reCAPTCHA: preventing automated submissions on this website's forms.
• Vercel: website hosting.
• Vimeo: hosting the coaching video on the coaching and tryout pages, which loads only if you press play.

Other than these service providers, we will only disclose personal information where required by law, such as a child safety report to police or child protection authorities. Details are set out on the Child Safety page.

We do not and will not sell personal information.

6. Overseas storage

Several of the service providers listed above are based in the United States and store data on servers outside Australia, including in the United States. Your personal information may therefore be stored overseas.

If you do not want your information stored overseas, please contact us. Coaching can be provided by phone and email instead.

7. Video clips

Video clips of children are treated as sensitive information.

• Clips are used only to give the child feedback.
• Clips are not posted publicly, used in advertising or shared on social media unless the parent or guardian has given separate written permission for that specific clip.
• Permission may be withdrawn at any time, and the clip will be removed.
• Clips are deleted within three months of cancellation, or sooner on request.

8. How long we keep information

• Enquiries that do not proceed: deleted after twelve months.
• Coaching notes, plans and clips: deleted within three months of cancellation, or sooner on request.
• Payment and invoice records: kept for five years, as required by Australian tax law. These records cannot be deleted on request.
• Child safety records: kept securely for as long as the relevant guidance requires, which may be a long period. This is necessary to protect children.

9. Access, correction and deletion

You may request a copy of the personal information we hold about you and your child, ask us to correct information that is wrong, or ask us to delete it. To make a request, email admin@liddicoatbasketball.com.au.

We will respond within 30 days and there is no charge. If we cannot delete particular information, we will tell you which category in section 8 it falls into and why.

10. Cookies and analytics

This website uses Google Analytics and Microsoft Clarity, which set cookies to recognise returning visitors and measure how the website is used, for example which guide pages are read. They do not tell us who you are.

You can block cookies in your browser settings. Google also provides a browser add-on that opts you out of Google Analytics on all websites.

This website also uses Google Ads conversion tracking, which sets cookies to measure whether our Google ads lead to phone calls and enquiries. You can control how Google uses this information for ads in your Google account's ad settings. We do not sell data to advertisers.

11. Security

This website uses HTTPS. Payments are processed by Stripe and do not pass through our systems. Accounts that hold personal information are protected by strong, unique passwords and two-factor authentication where the service offers it. Clips and notes are not stored on a shared device.

No system is completely secure. If a security incident occurs that could put you or your child at risk, we will notify you directly.

12. Complaints

If you have a concern about how we have handled your personal information, please contact us first at admin@liddicoatbasketball.com.au. We will investigate and respond within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

Concerns about child safety should not be raised with us first. The Child Safety page lists independent organisations you can contact directly.

13. Changes to this policy

We may update this policy from time to time. The current version will always be published on this page with the date it was last updated. If a change is significant, current subscribers will be notified by email.
