Privacy Policy

This explains what I collect about you and your child, why I collect it, who else can see it, and how to get it deleted. I have written it the way I would explain it to you on the phone, because a policy you cannot read is not really a policy.

Who this is

Liddicoat Basketball is a one coach business operated by Cameron James in Melbourne, Victoria. I am the person responsible for the information described on this page. There is no team, no call centre and nobody else reading your messages.

Liddicoat Basketball is a small business and is currently below the turnover threshold where the Privacy Act 1988 applies automatically. I follow the Australian Privacy Principles anyway, because I am handling information about children and that seems like the obvious thing to do.

What I collect

When you enquire

  • Your name, email address and phone number.
  • Whatever you write in the message.

When you subscribe to a plan

  • Your name, email address and phone number, as the parent or guardian.
  • Your child's first name and age.
  • The basketball club your child currently plays for, or none.

While I am coaching your child

  • Messages in the group chat, which always includes you.
  • Video clips you send me of your child training or playing.
  • My own coaching notes on their progress, and the monthly written reviews.
  • Anything you tell me about injuries, medical conditions or things happening at their club.

Automatically, when you visit this website

  • Which pages you looked at and how long for.
  • Your device type, browser and approximate location, worked out from your IP address.
  • Which website or search sent you here.

Your child's information, specifically

This is the part most privacy policies skip, so it gets its own section.

I collect the minimum I need to coach your child properly, and I collect it from you rather than from them. I ask for a first name and an age. I do not need a surname, a date of birth, a school, an address or a photo of their face to write a training plan.

Your child's information is never sold, never used for advertising, and never handed to a club, an association, a selector or a scout. If you ever want me to speak to their club coach, that only happens because you asked me to.

You control it, not your child. Ask me at any time for a copy, a correction or a deletion.

Why I collect it

  • To answer your enquiry.
  • To build and adjust a training plan that suits your child rather than a generic age group.
  • To take payment and keep the tax records the law requires me to keep.
  • To send you the monthly progress review and reply to your messages.
  • To keep your child safe, which sometimes means writing something down and reporting it. See the child safety page for exactly when that happens.
  • To understand which parts of this website are useful and which are not.

Who else can see it

I use a small number of outside services to run the business. Each one only gets what it needs to do its job.

  • Stripe handles all payments. Your card details go straight to Stripe and I never see or store them. I can see that a payment succeeded, not the card number.
  • WhatsApp, owned by Meta, carries the group chat and the clips you send.
  • Resend delivers the email notification when you submit a form on this site.
  • Google Analytics tells me how the website is used.
  • Google reCAPTCHA stops bots submitting the contact form.
  • Vercel hosts this website.
  • Vimeo hosts the video on the homepage, and only loads if you press play.

Beyond that, I will only pass on your information if the law requires it, which in practice means a child safety report to police or child protection. That is set out in full on the child safety page.

I do not sell your information to anybody, and I never will.

Information stored overseas

Several of the services above are American companies and store data on servers outside Australia, including in the United States. That is normal for almost every small business website in the country, and it does mean your information can sit on an overseas server.

If that is not something you are comfortable with, tell me. The coaching itself can run over phone and email instead.

Video clips

Clips of your child are treated as the most sensitive thing I hold, because they are.

  • They are used to give your child feedback. Nothing else.
  • They are never posted publicly, never used in advertising and never put on social media unless you have given me separate written permission for that specific clip.
  • Permission can be withdrawn at any time, and I will take the clip down.
  • They are deleted within three months of you cancelling, or sooner if you ask.

How long I keep things

  • Enquiries that do not go anywhere: twelve months, then deleted.
  • Coaching notes, plans and clips: deleted within three months of you cancelling, or sooner on request.
  • Payment and invoice records: five years, because Australian tax law requires it. This is the one category I cannot delete on request.
  • Child safety records: kept securely for as long as the relevant guidance requires, which can be a long time. This is deliberate and it exists to protect children.

Getting a copy, fixing it, or deleting it

Email admin@liddicoatbasketball.com.au and tell me what you want. You can ask for a copy of everything I hold about you and your child, ask me to correct something that is wrong, or ask me to delete it.

I will come back to you within 30 days. There is no charge. If I cannot delete something, I will tell you which of the categories above it falls into and why.

Cookies and website tracking

This site uses Google Analytics, which sets a cookie to work out whether you are a returning visitor. It tells me things like which guide pages parents actually read. It does not tell me who you are.

You can turn it off. Every browser has a setting to block cookies, and Google publishes a browser add on that opts you out of Analytics across every site you visit.

There is no advertising tracking on this site and no data is sold to advertisers.

Keeping it secure

The website runs over HTTPS. Payments never touch my systems. Accounts holding your information use strong, unique passwords and two factor authentication where the service offers it. Clips and notes are not stored on a shared device.

I am not going to claim that is unbreakable, because nobody honestly can. If something ever went wrong in a way that could put you or your child at risk, I would tell you about it directly rather than hope you did not notice.

If you are unhappy with how I have handled this

Come to me first. Email admin@liddicoatbasketball.com.au and I will look into it and reply within 30 days.

If that does not resolve it, you can take a privacy complaint to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

If your concern is about child safety rather than privacy, do not come to me first. The child safety page lists the independent places to go, and every one of them is outside my control on purpose.

Changes to this policy

If this policy changes, the new version goes up here with a new date at the top. If the change is significant and you are a current subscriber, I will email you rather than quietly swap the page.
